Upon payment of your invoice, your main sponsor contact will receive access to your company's sponsor portal where all of your important links, deliverables, and deadlines for our conference live.

SESSION INFORMATION DEADLINES FOR SPONSORS

Sponsors with an individual session must meet the following deadlines so we can schedule, review, and promote programming in a timely way.

Topic Deadline: May 15, 2026
Sponsors must submit the general topic or focus of their session by May 15. This helps us map out the agenda and ensure balanced coverage across conference themes.

‍Title and Description Deadline: July 1, 2026
Final session titles and descriptions are due by July 1. These details will be used for the website, mobile app, and printed materials.

‍If Sponsorship Is Secured After July 1
For sponsors who join after July 1, session information must be submitted within 14 days of securing the sponsorship. This ensures we can include details in conference programming and promotional channels.

COMPANY LOGO - Deadline: Within 14 days of Sponsorship Request Submission

If not already submitted, please email your company logo in vector format (EPS or AI) to sponsors@tahpconference.com.

SPEAKER/PANELIST INFORMATION - Deadline: July 1, 2026

Each speaker has a unique speaker form URL for their speaker profile. When updated, this link will automatically update their profile on our website and mobile app. It is convenient to access and can be updated as many times as needed.

Please have your speaker email us at sponsors@tahpconference.com to obtain their URL.

Speaker Form contains:

Full Name
Headshot and Biography
Affiliation and Job Title
LinkedIn and Twitter Profiles (if available)
Relevant publications, news or any recommended articles
Ability to upload documents, presentation, handouts

SPONSOR PROFILE - Deadline: October 1, 2026

Your company will receive a unique link to directly upload marketing items to your sponsor profile. Use this link to edit your description and upload materials such as PDFs, calendly link, contact information, or a promotional video about your company.

This Sponsor Profile will be made available on our official event mobile app and will not be made active until your sponsorship paid.

If your company has social media spotlight in it's package, the information you add to your Sponsor Profile will be used to create the content.

MOBILE APP BANNER ADS & PUSH NOTIFICATIONS - Deadline: October 1, 2026

If you have a mobile app banner ad and/or push notification included in your package, it must be submitted via your sponsor portal by the deadline in order for us to launch our mobile app ahead of the conference.

REGISTERING YOUR ATTENDEES - Deadline: October 9, 2025

You must have your complimentary attendees that are included in your sponsorship registered by the designated deadline. Additional registrations can be purchased at your discounted rate until the close of general registration on October 23, 2026.

HOTEL ACCOMMODATIONS

A block of rooms has been reserved at the Austin Marriott for registered conference attendees at a discounted rate of $309 per night. Discounted rate offered based on availability through October 12, 2026. The cutoff date is a guideline and does not guarantee availability.

You will receive your link upon receipt of your sponsorship payment.

SCAMS - HOUSING & LISTS

Scam housing companies are approaching TAHP members and exhibitors with fraudulent offerings of hotel rooms at significant discounts. Lured by highly attractive rates, exhibitors and attendees fall prey to these imposters losing significant deposits, discovering hidden costs, upfront charges or being bait and switched to hotel rooms they never booked.

We DO NOT use a third-party company for hotel accommodations. These companies, such as TravelEra, are in NO WAY affiliated with TAHP or our Texas Covered Conference + Expo, or the official hotel in Austin.

We DO NOT sell our attendee list. If you're solicited by any organization claiming to be affiliated with Texas Covered or TAHP offering to sell you our attendee list, it is a scam. Please report them to pdoner@tahp.org.
